Minutes of Annual General Meeting Sunday 26thth February 2011

Held at The Confluence Centre, Kilnsey, Yorkshire.

1) Presidents Annual Report.

2010 Another excellent year!

February – it looked as if we might not be going anywhere until pretty close to the event, despite rude drunken phone to the organisers! However Marie and Haydn pulled it off in style with a fabulous bunkbarn, Wandering William, in Ludlow. We had two great walks and excellent catering by Marie.

May – we had our own little house at Hawes End on Derwentwater, visiting the main centre for meals. Scorching hot but fab walks along Cat Bells on Saturday with magnificent views. Another good walk to the north on the Sunday.

September – Ross and Elaine did their first weekend, Elaine valiantly organising the catering despite not being able to walk herself. Nice cosy bunk barn near Grizedale though some of the wussier members opted for a B&B down the lane. Great walks – Coniston Old Man was a bit of a challenge but we all made it, only to be greeted by a downpour at the top! Lovely sunny afternoon as we returned alongside Coniston.  On the Sunday a local walk by the accommodation up through woods to a reservoir – really pretty.

November – well laid out barn at Springhill Riding Stables near Glyn Ceirog. What a find the Friday night pub was. Fired up by Marie’s huge breakfasts fab Saturday walk up the valley and back – really pretty countryside if a little muddy underfoot. Helen prepared excellent Mexican food, with a little help from Alex on the salsa. And if you ever need a bread and butter pudding Steve is your man! Short walk in the environs of the barn on Sunday, before finishing off the leftovers for lunch.

December – to end the year we had an excellent “Christmas Do” at the Peace Centre thanks to Jane.

Looking forward to an equally successful 2011!

2) Treasurers Annual Report. (Presented by Kath Brown in Pali’s absence)

 

 

 

 

 

 

This weekends receipts should cover outstanding costs and deposits have been paid for all the venues for the rest of the year. However the balance will just cover the amount to pay prior for the May weekend if demanded in advance. In summary the club just has sufficient monies to operate without difficulties but should not incur losses on future weekends.

3) Election of Officers (President, Secretary and Treasurer and BMC Main Contact).

There being no other candidates the current officers were re-elected unopposed.

4) Dates for 2011 and 2012.

2011

The Christmas do for the current year needs to be organised and Marie undertook to do this in consultation with members. All suggestions to Marie!

5) Any other business.

- Alex suggested that a record be kept of walks made each weekend for future reference and put on the website. He undertook to organise this starting with the February 2011 weekend.

- The issue of cancellations at short notice was discussed. Possibilities included requiring non-refundable deposits at time of booking, requiring that a minimum percentage of the weekend’s fees be collected even if booking cancelled shortly before the weekend, or trying to get cash much further in advance. The fees are set before the weekend,  based on the indications of members being likely to come and if the numbers do fall short attempts are made to fill empty places. With short notice cancellations this is usually not possible hence the discussion. It was decided to think further about this issue and try and agree a policy at the May weekend. Agreed to budget for 12 only in February in view of last few year’s attendance in February and loss on current weekend
